The Tan Station Ltd (trading as The Tan Station), a company registered in Engand and Wales. (“we”, “us”, “our”, “The Tan Station”), trading from National Service Station, 5 Ringwood Road, Brimington, Chesterfield, S43 1DF.

These Terms & Conditions apply to all customers using our studio, purchasing tanning minutes, packages, or products, whether in person or via our website. By booking a session, purchasing minutes, or using our facilities, you agree to be bound by these terms.

1. Age Restrictions & ID Verification

We strictly adhere to the Sunbeds (Regulation) Act 2010.

  • No person under the age of 18 is permitted to purchase UV tanning minutes or packages, online or in store, or to use our UV tanning equipment, tanning units, or changing areas — no exceptions.
  • If you appear to be under 25, you will be asked to provide photo ID in store before using UV tanning equipment. Acceptable ID includes a passport, driving licence, or PASS card showing your date of birth. This is a legal requirement, not a judgement on your age – please don’t take offence.

2. Registration & Skin Type Assessment

  • Before your first UV tanning session, you’ll complete a registration and consultation covering your skin type, tanning history, and relevant medical information.
  • You are responsible for providing accurate, complete, and up-to-date information during this process. We rely on what you tell us to recommend appropriate session lengths and to determine whether UV tanning is suitable for you.
  • If you provide inaccurate or incomplete information, or fail to disclose a relevant medical condition, medication, or change in circumstances, The Tan Station cannot be held responsible for any adverse reaction or harm that results.
  • If your circumstances change after registration – for example, a new medication, diagnosis, or pregnancy – you must tell us before your next session, as this may affect your eligibility to use our equipment.

3. Responsible Tanning Guidelines

  • Only one person is permitted in a tanning room while the equipment is active.
  • New clients must leave a minimum of 48 hours before their next UV tanning session. After this, a minimum of 24 hours must be left between sessions. We will decline to provide UV tanning if the required gap has not passed since your last session. Industry guidance recommends no more than 60 UV sessions per year.
  • Eye protection is provided free of charge and must be worn during every UV session.
  • Alcohol and illegal substances are not permitted before or during your session. If a member of our team believes you are under the influence, we reserve the right to decline your appointment.

4. Who Can Use UV Sunbeds

For your safety, please read the following before booking a UV session:

  • If you are undergoing medical treatment, taking photosensitising medication, or have photosensitive skin, consult a medical professional before using our equipment.
  • UV tanning is not available to customers who are pregnant.
  • If you have had, or are planning, Botox or fillers, we strongly recommend speaking to your practitioner or a medical professional before using UV tanning equipment.
  • A tan should always be built gradually, particularly if you have sensitive skin or are new to tanning.
  • Do not use our equipment if you have been in natural sunlight or used another sunbed on the same day, or intend to.
  • Never repeat a tanning session if any redness remains from a previous session.
  • If you have an unusually high number of moles, or an immediate family history of skin cancer, seek medical advice before using UV tanning equipment.
  • Do not use our equipment if you suffer from: adverse reactions to normal sunbathing, epilepsy, giddiness or fainting, headaches or migraines, heart conditions, high or low blood pressure, prickly heat, cold sores, allergies, or skin ulcers.
  • Do not UV tan within 24 hours of hot waxing, tattooing, bleaching, laser hair removal, or electrolysis.
  • Cosmetics, perfumes, and deodorants should not be worn during treatment.
  • First-time customers and those with sensitive or untanned skin should limit their first sessions to a maximum of six minutes.
  • By using our equipment, you acknowledge that UV tanning may accelerate skin ageing and carries an associated risk with certain skin cancers.

5. Red Light Therapy

Our Red Light Therapy beds use a non-UV light spectrum for cosmetic use only. They are not a medical device and are not intended to diagnose, treat, or cure any medical condition.

  • Always check with your GP before starting Red Light Therapy if you have an existing medical condition or are undergoing treatment.
  • If you have photosensitive skin or are undergoing medical treatment, consult a medical professional before use.
  • If you experience any pain or discomfort during treatment, stop immediately and seek medical advice before continuing.

6. Packages & Pay-As-You-Go Minutes

  • We offer pay-as-you-go tanning by the minute, and bundled packages of 60 or 100 minutes.
  • Packages and minutes are valid for 12 months from the date of purchase.
  • In exceptional circumstances (for example, a medical condition preventing use), we may agree to pause a package so it doesn’t expire during that time. Requests must be made in writing to office@thetanstation.co.uk and may require supporting evidence (such as a doctor’s note). We assess these on a case-by-case basis and reserve the right to decline.

7. Online Purchases: Cooling-Off Period & Refunds

  • If you purchase minutes or a package online, you have a 14-day cooling-off period from the date of purchase in which you may request a refund.
  • If no minutes have been used, you’ll receive a full refund.
  • If some minutes have been used, you’ll be refunded for the remaining, unused minutes only.
  • If all purchased minutes have been used within the cooling-off period, no refund is available, as the service has been delivered in full.
  • To request a refund, email office@thetanstation.co.uk or write to us at National Service Station, 5 Ringwood Road, Brimington, Chesterfield, S43 1DF, within 14 days of purchase.
  • If you purchase the wrong package by mistake, we’re happy to exchange it for the correct one rather than process a refund.
  • Outside the 14-day window, refunds are only available where a valid medical reason prevents you from continuing to use your remaining minutes, supported by appropriate medical evidence.
  • We reserve the right to request proof of purchase for any refund request.

8. Promotions

From time to time we run promotions, such as free or discounted minutes for new customers. Current promotional terms will always be stated at the point of the offer (in store, online, or on our social media) and take precedence over this general clause. In general:

  • Promotions are subject to change and may be withdrawn or amended at any time.
  • Free minutes are valid on UV sunbeds only and must be used within the stated period from registration, after which they expire.
  • We reserve the right to decline a promotional offer where we reasonably believe it is being claimed fraudulently (for example, via a duplicate account).

9. Discounts on Packages

  • Discount promotions apply to packages only and exclude pay-as-you-go minutes, unless stated otherwise.
  • Discounts are only available during specified promotional periods — check our social media for current offers.
  • Offers cannot be combined with any other promotion or discount.
  • We reserve the right to withdraw any offer at any time.

10. Social Media Competitions

  • Competitions may run via our Facebook and Instagram pages.
  • Winners will be contacted directly by our official page.
  • We will never ask for your bank details to redeem a prize unless it is a cash prize.
  • Our competitions are not sponsored, endorsed, administered by, or associated with Meta, Facebook, or Instagram.
  • Winners are selected at random unless stated otherwise.

11. Gift Cards

Gift cards will be available in store [coming soon]. Once available:

  • Gift cards are redeemable in store only and cannot be used for online purchases.
  • Gift cards are valid for 12 months from the date of purchase.
  • Gift cards can only be loaded with a monetary value — packages and promotions cannot be added to a gift card.

12. Tanning Lotions

  • We ask that clients do not use lotions on our prohibited list when using our UV sunbeds, as certain ingredients can damage the acrylic surfaces of the equipment. We reserve the right to refuse the use of any lotion we consider unsuitable for our equipment.
  • If you have an allergy or skin sensitivity, please check lotion ingredients carefully before use.
  • Lotions may be returned to the store of purchase within 14 days if faulty. Your request will be reviewed by our team; a refund or exchange may be offered provided the product is faulty, unused, and in its original condition. We reserve the right to decline a return or refund.

13. Your Property

Please keep your belongings with you in the studio at all times, and check your room before leaving. The Tan Station cannot accept responsibility for any loss of, or damage to, personal property while on our premises.

14. Your Account

Once our online booking and account system is live, you’ll be able to manage your bookings and details through your account. In the meantime, please speak to a member of our team in store for any account assistance.

15. Appointments

Please arrive at least 5 minutes before your appointment time. Due to demand on our equipment, we may not be able to hold your appointment if you arrive late; priority will pass to the next customer in the queue or the next walk-in. We’ll always do our best to fit you into the next available slot or onto alternative equipment.

16. Complaints

If you’d like to raise a complaint, please email office@thetanstation.co.uk with details and any supporting evidence. We’ll acknowledge your complaint and aim to respond within a reasonable timeframe.

17. Data Protection

We process your personal data in line with UK data protection law. Full details of what we collect, why we collect it, and your rights are set out in our Privacy Policy. If you’d like your account or personal data deleted, contact us at office@thetanstation.co.uk or speak to a member of staff in store.

18. General

  • We reserve the right to update these Terms & Conditions from time to time. The current version will always be available on this page.
  • If any part of these terms is found to be unenforceable, the remaining terms will continue to apply in full.
  • These terms are governed by the law of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
